Event Name: CIA Conference 2026 ("CIA Conference" / "Event")
Website: www.ciaconference.com

These Terms & Conditions ("T&C") govern participation by any sponsor, exhibitor, partner, or supporting organization ("Sponsor" / "Exhibitor" / "Company") at CIA Conference 2026. By submitting a sponsorship confirmation, purchase order, email confirmation, invoice acceptance, or payment, the Sponsor agrees to these Terms & Conditions.

1) Definitions
"ThreatPurge" refers to ThreatPurge Private Limited, the organizer and authorized operator of CIA Conference.
"Event" / "CIA Conference" refers to CIA Conference 2026 and its associated sessions, expo area (if any), networking activities, and official side-events organized or approved by ThreatPurge.
"Sponsor / Exhibitor / Company" refers to the organization confirming sponsorship, exhibiting, or supporting CIA Conference in any capacity.

2) Sponsorship Rights & Deliverables
2.1 The Sponsor receives sponsorship benefits as per the Sponsorship Proposal / Brochure / Invoice / Email Confirmation shared by CIA Conference ("Sponsorship Deliverables").
2.2 Deliverables may include brand visibility, logo placement, sponsor recognition, lead generation options, sponsored zones (e.g., Lunch Sponsor), or other agreed activities.
2.3 ThreatPurge will manage all on-ground and pre-event coordination and reserves the right to make reasonable operational adjustments to ensure quality and smooth execution of the Event.

3) Pricing & Additional Costs
3.1 Sponsorship fees are as per the finalized package and invoice.
3.2 Any additional costs beyond the sponsorship fee (including but not limited to travel, accommodation, shipping, printing of custom materials, manpower, and setup requirements) shall be borne by the Sponsor unless explicitly agreed in writing.

4) Payment Terms
4.1 Unless otherwise stated in the invoice or sponsor agreement, full payment is required within 7–15 days from invoice issuance or by the sponsorship confirmation deadline (whichever is earlier).
4.2 Sponsor benefits such as logo placement, public announcements, and partner listings may begin only after payment confirmation and receipt of sponsor assets.

5) Sponsor Asset Submission (Logos & Marketing Material)
5.1 Sponsor must submit: Logo in PNG (transparent) / SVG preferred, Brand name formatting, Sponsor website and social handles, Company profile (50–100 words), Point of contact details.
5.2 CIA Conference is not responsible for delays in publishing sponsor branding if sponsor assets are not shared on time.

6) Branding Usage & License
6.1 The Sponsor grants ThreatPurge a non-exclusive, non-transferable right to use the Sponsor's trademarks, logo, trade name, and brand assets ("Sponsor Marks") only for: Event promotions, Sponsor recognition, Event website and official social channels, Event creatives and on-ground sponsor displays.
6.2 CIA Conference does not claim ownership of Sponsor Marks. All goodwill remains with the Sponsor.

7) Sponsor Recognition & Placement Policy
7.1 Sponsor brand placement (website position, sponsor grid order, banners, visuals, stage slides) is decided by ThreatPurge based on: Sponsorship tier, Confirmation timeline, Space and design constraints, Brand guideline compatibility.
7.2 Final brand placement and layout decisions will be at ThreatPurge's discretion for maintaining consistent event design and audience experience.

8) Right of Refusal & Code of Conduct
8.1 CIA Conference reserves the right to refuse or cancel sponsorship/exhibitor participation if the Sponsor: Promotes illegal, harmful, or unethical products/services; Misrepresents security claims or engages in deceptive marketing; Harasses or creates an unsafe environment for attendees; Violates event policies or disrupts event proceedings.
8.2 CIA Conference reserves the right to remove any Sponsor materials/branding that are offensive, unsafe, or not aligned with the nature of the Event.

9) Sponsored Sessions / Speaking Opportunities (If Applicable)
9.1 CIA Conference is a quality-first cybersecurity platform.
9.2 Any sponsor speaking opportunity, panel slot, or workshop participation is subject to: Relevance to cybersecurity learning, CIA Conference content guidelines, Final approval by CFP reviewer board.
9.3 CIA Conference reserves the right to decline or reschedule any sponsor session request that conflicts with program quality or event objectives.

10) Lunch Sponsor / Zone Sponsor Terms (If Selected)
10.1 If Sponsor selects a sponsorship such as Lunch Sponsor, the Sponsor will receive branding placement as committed, such as: Table signage, Lunch zone banners/standees, On-screen "Lunch Powered By [Sponsor]" visibility (if enabled).
10.2 Exact number and placement of signage may vary based on venue restrictions, safety rules, and operational feasibility.

11) Cancellation & Refund Policy
11.1 Sponsor cancellation must be submitted in writing via email by an authorized representative.
11.2 Cancellation charges will apply as follows: Before [X Date] → 10% cancellation fee; Between [X Date] and [Y Date] → 50% of sponsorship fee; After [Y Date] → 100% of sponsorship fee (no refund).
11.3 If any refund is approved, it will be processed within 30–60 working days after the Event concludes.
11.4 In case of cancellation by Sponsor, CIA Conference reserves the right to reallocate sponsorship slots to another partner without any rebate or compensation.

12) Event Changes / Force Majeure
12.1 CIA Conference may make reasonable changes to event format, schedule, timing, venue, or speaker lineup due to operational needs or circumstances beyond control.
12.2 If the Event is postponed, sponsor payments may be transferred to the new dates.
12.3 ThreatPurge shall not be liable for indirect losses such as travel cost, lost profits, or business opportunity losses.

13) Sponsor Conduct & On-Ground Guidelines
13.1 Sponsor representatives must behave professionally and comply with venue rules and CIA Conference guidelines.
13.2 Sponsor must not engage in: Aggressive solicitation, Harassment, Any activity impacting attendee safety or privacy.
13.3 Any promotional activity must remain within the scope of sponsorship package and must not interfere with other sponsors or sessions.

14) Data Privacy & Lead Collection
14.1 Sponsors may collect leads through approved methods such as QR scans, sign-ups, or interactions.
14.2 Sponsors are solely responsible for complying with applicable privacy laws and regulations when collecting and processing attendee data.

15) Liability & Indemnity
15.1 Sponsors participate at their own risk and are responsible for their own materials, devices, and staff belongings.
15.2 CIA Conference shall not be liable for theft, loss, damage, or disappearance of Sponsor property.
15.3 Sponsor agrees to indemnify and hold harmless ThreatPurge, its team, contractors, and venue partners against claims arising from: Sponsor actions, Sponsor negligence, Violation of laws or third-party rights.
15.4 ThreatPurge & CIA Conference liability (if any) shall be limited to the sponsorship fee paid for the applicable package.

16) Assignment
Neither party may assign its rights or obligations under these Terms without written consent of the other party.

17) Governing Law & Jurisdiction
These Terms & Conditions shall be governed by the laws of India. Any disputes shall fall under the jurisdiction of courts located in Noida, unless otherwise mutually agreed in writing.

18) Entire Agreement
These Terms & Conditions, along with the sponsorship proposal/invoice/email confirmation, constitute the complete agreement between ThreatPurge and the Sponsor and supersede prior discussions.
